Job Summary

Under administrative supervision, the Business Administrative Associate provides system wide procurement support, and performs duties to meet the daily operational needs administered by the Office of Procurement Services.

Duties & Responsibilities

  • Assists with the University's Amazon Business account. Provides guidance to colleges and departments regarding available contracts, purchasing needs and issues. Utilizes data analytics as a tool for establishing new processes, research and compliance for updates and changes. Provides analytical feedback to senior purchasing staff and provides recommendations for Amazon Business policies.
  • Assists with the After the Fact iBuy functions. Ensuring rules, regulations, policies, and procedures are followed.
  • Under the direction of senior staff, works with the campus community and vendors to identify procurement opportunities. Collaborates with other procurement professionals to develop sourcing strategies that are in the best interest of the University.
  • Under the direction of senior procurement staff, coordinates meetings and other procurement related activities to clarify procurement processes and procedures and facilitates vendor networking.
  • Assists in preparing various reports related to procurement and contracting activities as requested by senior staff and/or management.
  • Assists senior procurement staff in identifying opportunities to partner with diverse vendors and assists the Office of Procurement Diversity with outreach to identified vendors.
  • Perform other related duties and responsibilities appropriate for a Business Administrative Associate.


Additional Physical Demands

Work is performed in an office setting and is sedentary for the most part. No unusual physical exertion is required.

Minimum Qualifications

  • Bachelor's degree in business administration, management, or a field related to the position.
  • Two (2) years of professional business, financial, and/or managerial work experience.
  • NOTE: A Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.

Knowledge, Skills and Abilities

  • Ability to prioritize and work on multiple projects concurrently.
  • Ability to communicate effectively with a broad group of constituents to effectively resolve issues.
  • Ability to analyze situations, exercise good judgment and recommend solutions to problems.
  • Ability to review and evaluate material or similar documents, provide feedback, and render advice and assistance.
  • Excellent keyboarding, grammar, and proofreading skills, with strong emphasis on accuracy and applicable formats and criteria, to prepare and process correspondence, reports, and other documents that appropriately reflect University and department standards.
  • Proficiency with Microsoft Office suite as well as an Internet browser
  • Excellent verbal and written communications skills to effectively interact with University and departmental officials/staff.
  • Strong interpersonal skills that reflect courtesy, diplomacy, and a collaborative approach to develop and maintain effective work relationships.
  • Ability to work independently and to exercise good judgment and discretion in the performance of all work assignments.
  • Ability to multi-task and prioritize work accordingly to meet deadlines while staying on task with daily assignments.
  • Strong organizational skills to maintain electronic and paper filing systems containing confidential information and records related to departmental operations.

Responsibility

  • Personal Relationships: Position interacts with University and departmental officials/staff and other internal/external constituencies to obtain/provide information to facilitate operations and services administered by the department.
  • Communication is accomplished via phone, in-person, correspondence, and electronic communications.
  • Strong interpersonal skills are required to fulfill all assigned duties and responsibilities that serve to meet the highest standards of professionalism established by the University and the department.

Appointment Information

This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 6/5/2023. Salary is commensurate with experience.
