What would I be doing?:
Belterra Casino Resort
The incumbent in this position is responsible for coordinating all service details for groups as
they relate to the servicing of meeting and convention guest room blocks and meeting space.
This position represents the property to meeting planners and group officials in accordance with
signed contracts and client needs. The Convention Services Planner (CSP) actively develops
and retains new and existing clients within their assigned territory through group prospecting
and the selling and servicing of short-term meeting group bookings, in order to reach
communicated annual goals generated by the Sales Department.

1. Services all aspects of group programs upon receipt of signed contract from assigned
Outside Sales Manager.
2. Contacts group sales customers daily (verbal or written) to establish a schedule of
communications. Discuss group’s arrival, departure, function services, and off-property
functions. Manages room blocks, meeting space, menu selections and cross sells
amenities of property when appropriate according to written and signed contracts.
3. Organizes and maintains traces in Delphi for follow up.
4. Upon group contracts turn definite, CSP sends out welcome introduction letter to
Meeting planner with follow up phone contact to arrange detailing of group programs.
5. Review all booking recap summaries for accuracy.
6. Organize and lead group pre-con and post-con meetings.
7. Work with Audio Visual Department, Special Event Department to create entertainment
and theme events whenever Group clients request.
8. CSP designated as the key point person for their assigned groups, and must be flexible
in working around meeting planners schedule and handling special requests when
meeting/convention group is on-site.
9. Prepares group resume for all operations departments at least 7 days prior to groups
arrival.
10. Creates banquet event orders (BEOs), which accurately reflect client’s requests.
11. Performs client up-sell techniques as they relate to Audio Visual and menu selection
upgrades.
12. Communicates and follows through daily with all hotel service departments to ensure
that all changes are being fulfilled according to client’s specifications and attends all
meetings as directed by the Director of Hotel & Sales and Banquet Manager.
13. Greets meeting/convention group customer representatives upon arrival and reviews all
pertinent property locations and other features and amenities of Belterra Casino Resort.
14. Assists with property site-inspections as requested by assigned Sales Manager.
15. Prepares accurate reports and follows up in a timely manner (always within 24 hours)
with Sales Manager Requests.
16. Sell and service of meeting/convention groups inside of 30 days (one-stop shop).
17. Make prospect calls for new business as assigned by the Sales Manager.

JOB QUALIFICATIONS
This knowledge and these abilities are typically acquired through the completion of an
Associates degree in business administration, marketing, or other related field, as well as a
minimum of 1-3 years experience in convention services or call center customer support, and 1-
2 years outside sales experience.

JOB QUALIFICATIONS
- Typing and computer skills required.
- Strong detail oriented organization skills a must.
- Excellent written, verbal communication and customer skills required.
- Knowledge of casino industry and/or hotel and resort marketing as it pertains to group
- Knowledge of Food & Beverages, Banquet basic set up are necessary.
- A proven history of customer service success that clearly showcases an understanding
