Basic Purpose
Plainville Farms, located in New Oxford, PA, has an immediate opening for an experienced, organized, and detail-oriented Customer Service Representative (CSR). The CSR is responsible for exceeding customer expectations by handling inquiries, processing orders, and meeting deadlines courteously, efficiently, and timely. The CSR communicates regularly with both internal and external customers and is expected to be professional and respectful.
Essential Duties and Responsibilities
- Receive and process incoming telephone, faxed, or EDI Sales and Return orders; maintain records on daily transactions.
- Enter orders into the system as received. Confirming accurate pricing, promotions, SKU’s, and ship date.
- Inform Production of orders as received for Production Planning.
- Inform customers of shortages prior to delivery of product.
- Communicate problems with deliveries, credits, and complaints to appropriate team members for resolution.
- Maintain up-to-date customer files.
- Complete customer forms as necessary.
- Maintain Customer portals as necessary.
- Manage Consumer Care Hotline (800#):
- Answer consumer questions regarding company practices, product specs, preparation and cooking instructions, where to buy, other questions.
- Handle negative comments in a professional manner.
- Follow Consumer Care guidelines for handling refunds.
- Resolve credits and adjustments from assigned accounts following company guidelines. Submit all credit requests to appropriate designated persons. Notify customers of credit approval or denials.
- Enter information to the customer/consumer complaint log.
- Backup other team members within the Customer Service Department as needed.
- Perform other related duties and projects, as assigned.
Minimum Qualifications
- 3 years of sales administrative experience and proficiency in Microsoft Suite products.
- Ability to communicate and work with various people, both written and verbal. Organized and detail oriented. Ability to handle high call volume in a fast-paced environment.
- High School Diploma or associate degree
- Must be available to work Monday - Friday; 8:30 AM - 5:00 PM. Weekends and/or holidays prn.
Preferred Qualifications
· Customer Service experience in the manufacturing industry a plus
