GENERAL DEFINITION
The Assistant Project Manager (APM) provides administrative and project management support to the Project Management Office (PMO). The APM will be responsible for performing administrative, operational, and other tasks related to managing internal and external engagements and projects. This role will also serve as a primary point of contact for information regarding projects to internal and external stakeholders. The APM will work under both direct supervision and independently, and recommend, interpret, and /or implement company and internal administrative policies and procedures. The APM will assists the Project Manager in prioritizing projects and overseeing the project schedule. This position reports directly to the Project Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Coordinate PMO schedules, arrange meetings, prepare agendas, and reserve and prepare facilities.
- Monitor budgets and actual cost reconciliation activities as required.
- Manage contract tracking, routing, and approval as required.
- Manage departmental Drive files, CRM, and MS Project Tracking, as requested.
- Organize and coordinate PMO purchase requisition request and invoices.
- Maintain an understanding of the key objectives of Progen programs and projects.
- Act as the focal point for team project communications and status reports routed to Senior Leadership.
- Provide requested project information and act as a liaison between internal departments such as Engineering, Administration, and Production.
- Manage the tracking of pipeline and strategy development.
- Manage bi-weekly reporting, PO update reports, including copy editing.
- Participate in the development and execution of project plans and budget preparation.
- Gather information and create documentation, such as project plans, timelines, and checklists to maintain quality and service delivery.
- Contribute to presentation materials, web content and other documentation for the PMO team.
- Conduct research and compile statistical reports.
- May be asked to facilitate internal meetings as needed.
- Take on special projects as assigned.
EXPERIENCE REQUIREMENTS AND SKILL
- Bachelor’s degree (B.A. or B.S.) from an accredited institution, and 2+ years relevant experience, or 4-years equivalent work experience, or combination of education and experience.
- Demonstrates honesty, responsibility, integrity, and fulfillment of commitments.
- Excellent interpersonal and communication skills, demonstrating a high level of independent judgment, tact, and diplomacy.
- Ability to work effectively with diverse teams, manage external resources, and liaise with a broad range of internal and external clients, departments and stakeholders, at various levels within the organization.
- Experience working with project teams for programs that include multiple projects and a high level of complexity.
- Ability to work with confidential information in a discreet and professional manner.
- Ability to work under tight deadlines, managing multiple priorities in a dynamic and changing environment.
- Flexible, creative, solution-oriented approach to problem-solving.
- Excellent ability to manage simultaneous project streams and meet deadlines.
- Strong analytical and interpersonal skills.
- Knowledge of general office practices, procedures, and equipment.
- Ability to prioritize tasks and work independently.
- Excellent writing and copy, editing skills.
- Strong attention to detail.
- Familiarity with G-Suite, MS Office, and MS Project preferred.
- Familiarity with the Oil and Gas or Energy industries preferred.
- Working knowledge of PMI PMBOK preferred.
- Ability to travel domestically or internationally may be required.
- Valid US Passport a plus.
- Computer skills: MS Office (Word, Excel, Outlook, PowerPoint)
