Pine Run Retirement Community is looking for a full-time Scheduler/Unit Clerk. The hours for this position are Monday thru Friday 8:00am-4:30pm

POSITION SUMMARY:

The scheduler assumes clerical responsibility to coordinate activities at the unit nurses' station. Performs receptionist, telephone and clerical duties to support nursing staff in the delivery of care and services to unit residents. Maintains medical records for each resident that are complete, readily accessible and systematically organized. Maintains nursing staff schedules, ensuring adequate staffing for each shift. Interacts with residents, staff, consultants, visitors and others in a manner that facilitates communication and presents appropriate image of the facility. Greets visitors, staff and residents promptly in pleasant, courteously manner. Provides accurate information. Makes prompt efforts to answer questions, to resolve problems within scope of scheduler responsibility or notify appropriate facility representative.

ESSENTIAL RESPONSIBILITIES:

Essential Responsibility Expectations Customer Service

  • Provide exceptional customer service to residents, families, volunteers, visitors and other Associates through the use of appropriate interpersonal skills and problem-solving. Provides information/directions in accordance with company policies and procedures.
  • Distributes drinks and snacks to residents as requested.
  • Assists in transporting residents into the dining room, on/off elevators and around the nursing station.
  • Communicates clearly and effectively.
  • Protects confidential information according to established policy.
  • Always interacts with customers (patients, guests, visitors, Associates, etc.) with courtesy, tact, and diplomacy to carry out the objectives of the department.

Clerical Duties

  • Maintains orderliness of the nursing station.
  • Delivers new admission chart and initiates forms in preparation for admission.
  • Deliver any faxed documents to the appropriate party.
  • Manage daily schedules for all nursing staff including CNAs, LPNs, and RNs. Contact per diem staff for open shifts. Communicate with DON for need of Agency staff.
  • Maintain daily staffing patterns and a six week advance schedule for all nursing staff.
  • Schedules appointments with physicians for patient and relays the information to the nursing team.
  • Provides clerical support the unit as directed by the Nurse Manager and DON.
  • Utilizes computer systems to track information, communicate and maintain correspondence.
  • Attends mandatory in-services per policy.
  • Accepts accountability for job responsibilities on an ongoing basis.
  • Answer resident call bells and notify appropriate Associate of resident need. Answers resident call bells at the nursing station. Process the calls appropriately by providing accurate information or notifying the appropriate Associate(s). .
  • Meet and greet resident families, volunteers and visitors to the unit. Provide accurate information and directions.
  • Utilizes skills to organize and prioritize tasks in an environment with multiple external stimuli and demands.
  • Answers telephone by identifying self and facility. Screens and directs calls, takes messages accurately, and processes appropriately. Relays inquiries to appropriate Associate(s). Provides accurate information to callers and visitors or refers to appropriate source.
  • Communicates effectively with nursing, patients, and family members, volunteers and other healthcare Associates through a variety of mediums such as telephone, personal contact, computer, copiers, and fax machine.

OTHER RESPONSIBILITIES:

  • Demonstrates understanding and complies with the EXPOSURE PREVENTION PLAN for occupational exposure of blood borne pathogens.
  • Adheres to Pine Run Community’s Policies and Procedures, and Fire/Disaster Plan.
  • Assists with assisting residents at mealtime and in times of extreme need.
  • Performs other duties as assigned by nursing management.

WORKING CONDITIONS:

  • Indoor at a clean, well-lit and well-ventilated nursing station.

JOB QUALIFICATIONS:

  • Must pass required health screen and testing before employment begins and yearly thereafter, as applicable to the position.
  • Must have an acceptable criminal history report as defined by the Older Adults Protective Services Act and its amendments.
  • Strong interpersonal, organizational and communication skills in person and via telephone and intercom.
  • Professional, positive attitude and representation.
  • Ability to work calmly and efficiently under pressure.
  • Must relate and work well with the elderly, the ill, persons with disabilities, and their families.
  • Customer service; medical secretary experience; long term care/nursing home experience; exceptionally organized; computer skills;
  • Education: High school diploma or GED.
  • Experience with medical terminology and transcription preferred.
