Job Responsibilities

  • Employment Pass (New Hire)
    • Responsible for the application of employment pass for new expatriate and dependents passes for their dependents.
    • Advise expatriate on visa and any Work Permit related matters.
    • Monitors end to end progress of all new applications and ensure expatriate are kept informed on progress throughout the application process.

  • Expatriate Management (New Hire)
    • Responsible for the arrival of all new expatriate faculty which includes pick up service from airport and initial accommodation.
    • Assist expatriate to secure accommodation upon commencement of work.
    • Responsible for all initial cost (visa and flight tickets) and relocation cost for expatriate to be processed on time.

  • University Accreditations
    • Assist all university accreditation documentation such as Self-Accreditation, SETARA, Myra and etc. ensuring in accordance with the standards and requirements set out in the Accreditation guideline.
    • Coordinate and lead compilation of HR related information for the purpose of accreditations submission.

  • MQA Programmes Accreditations
    • Collating information in a variety of formats required for MQA programmes audit accreditation preparation and submission.
    • Ensuring compliance with regulations set by MQA in document preparation.
    • Ensure all faculty CVs are updated at regular time for submission to regulatory bodies.
    • Update and maintain regulatory documentation database and ensure 100% accuracy at all times and efficiency in data tracking.
    • Update and maintain e-filing record system for all MQA programmes related document.
    • Coordinate and lead compilation of HR related information for the purpose of accreditations submission.
    • Familiarize with calculations of Student Staff Ratio (SSR) as per MQA’s programmes guidelines.

  • Contract Management
    • Ensure all faculty contract is renewed/end of contract in accordance with the stipulated timeline.
    • Administer contracts in accordance with approved terms & condition.
    • Update contract details in template when changes are made to maintain the integrity of contract information.
    • Interpret and explain contract terms and conditions to staff when necessary.
    • Monitor all contract deadlines and conditions to ensure timelines are kept.
    • Develop and maintain digital system/records of contracts.
    • Write and update standard operating procedures.

  • Reporting/Administration matters
    • Update report related to accreditation, expatriate management and other ad hoc related reports.
    • Supervise and provide effective guidance, support and training to subordinate to ensure work/task given meet target and deadline.
    • Proactively identify process improvement for both contract management and regulatory affairs from MQA accreditation.
    • Perform any other ad-hoc duties that fall within the scope as allocated by the line manager.

Job Requirements

  • Candidate must possess at least a Degree or equivalent.
  • At least 3 year(s) of working experience and knowledgeable in contract management and administration.
  • Excellent communication and writing skills in English.
  • Must possessed own transport and willing to travel.
  • Ability to handle confidential information
  • Basic knowledge on Employment Act and relevant HR legislation.
  • Able to work independently, able to multi-tasking and a good team player.
  • Proactive, possess good working attitude, hardworking and quick learner.
  • High degree of accuracy in deliveries and reporting.
