The UW/Fred Hutch Center for AIDS Research (CFAR) is one of several Centers for AIDS Research funded by the National Institutes of Health in the U.S. The UW/Fred Hutch CFAR has consistently rated in the top 3 in the U.S. for HIV/AIDS research and employs some of the most eminent researchers and educators in the field. The ultimate goal of the CFAR is to facilitate HIV/AIDS research to bring us closer to a cure for the disease. We accomplish this by supporting HIV research at our four consortium institutions (UW, Fred Hutch, Seattle Children’s, Access to Advanced Health Institute), our minority-serving institution partner the University of Hawai’i, and our local, regional, and international affiliates in locations such as Kenya, Peru, Mozambique, Uganda, and South Africa.

Responsibilities:

Developmental Core Program Management (45% FTE)

  • Manage pre-award operations for 6 annual CFAR award competitions, including all aspects of the promotion, application and review process. Work directly with CFAR Developmental Core faculty leads, pre-submission Core/SWG consultation teams, prospective applicants, and reviewers to ensure a rigorous and successful process.
  • Provide administrative support to the Developmental Core Director and faculty, including staffing monthly and semiannual planning meetings, preparing Core presentations, and tracking Core award program data.
  • Manage Core webpage, listservs, and shared email inbox.
  • Monitor Core program operations and policies for potential impact on diversity, equity and inclusion amongst users and stakeholders. Serve on CFAR Diversity, Equity and Inclusion Work Group of faculty and staff.

Event Management (35%):

  • Manage CFAR-sponsored events and meetings, in cooperation with faculty organizers from CFAR cores and working groups. These responsibilities include but are not limited to: Organize monthly, bi-monthly, and ad hoc seminars (virtual, hybrid, in-person), workshops, symposia, and work-in-progress meetings in cooperation with CFAR faculty

With course faculty leads, manage the Principles of STI and HIV Research and Public Health Practice course, including creating speaker schedule and communicating with speakers, managing applications and scholarships, editing and managing course website, creating advertising materials and publicizing the course via multiple channels, develop agendas and lead planning meetings, design and update process guides and work plans, organize staffing and technical support during course, lead the work of a student assistant, and manage course funding streams and monitor expenditures
Work with audio/visual techs to ensure that presentations and webcasts work properly
Work with a student assistant for speaker logistics, catering, room reservations, reimbursements, marketing, program databases
Scheduling and staffing planning meetings

  • Provide administrative and coordinating support as needed

Staffing for Equity, Diversity and Inclusion (EDI) Initiatives (20%)

  • Assist the EDI Director with the implementation of Equity, Diversity, and Inclusion plan for the Center; tracking deliverables and outcomes.

Minimum Qualifications:

Bachelor's Degree in Public Administration, Business Administration, Public Health, or related field and three years of program management, fiscal administration and event coordination experience on a Health Care Program.

Demonstrated expertise with Microsoft Office suite, particularly Word, Excel, Outlook, and PowerPoint.

Ability to work both independently and as part of a multidisciplinary team, take initiative and ownership of work, successfully prioritize, and manage multiple projects in a deadline-driven environment.

Excellent organizational skills, attention to detail, and follow through. Strong written and verbal communication skills.

CONDITIONS OF EMPLOYMENT:

  • Periodically available for phone calls/meetings in the early morning and late evenings to accommodate worldwide time differences
  • Deadline-driven environment, occasionally requiring extended hours

Job Type: Full-time

Pay: $32.57 per hour

Schedule:

  • 8 hour shift
  • Day shift
  • Monday to Friday
  • No weekends
