Position Purpose
This role is responsible for supporting the Rewards Manager in developing, implementing and administering an effective and competitive rewards and benefits strategy that attract, motivate and retain talents, which is consistent with the Company's pay for performance philosophy, meets organisational needs and culture, as well as in line with global strategy and locally relevant. Support in making recommendations for year-end reviews salary increment, off-cycle salary adjustment, promotion, transfer, redesignation, etc.
Support in the process of enhancement upgrades to HR system/tools and ensure the employee information are maintained in HR systems on a timely, complete and accurate manner. Responsible to support the rewards and benefits related special projects that include market analysis, salary benchmarking exercise, job evaluation, rewards & benefits reporting/surveys, regular updates and creation of new HR policies.
Provide administration support to the P&C Lead.
Main Areas of Responsibility
Compensation Management
- Conduct the day-to-day operational support etc. of the activities within rewards and benefits and ensure that an efficient functioning of the rewards function can be guaranteed. Make salaries recommendations to line management after evaluating job descriptions for new hires as well as for existing talent in the event of salary increment/adjustment, promotion, transfer, redesignation, etc.), to ensure internal relativity and external competitiveness. Support other compensation processes e.g. Annual Salary Review, PSIP and LTIP
Benefits Administration
- Administer employee benefits programs, which includes retirement plans, EPF, ESPP, leave policies, employee nomination forms, wellness programs, EAP and insurance plans & policies such as health, life, and disability. Coordinate vendors selection, enrollment, renewal, billing and distribution processes for employees. Ensuring that the pay practices comply with local regulations and remain competitive in the market.
- Work together with GBS Travel & Expenses team on employees' corporate credit card application/system maintenance/ employee queries on claim issue.
Salary Surveys and Market Analysis
- Participate in salary survey by supporting Rewards Manager to prepare and submit data files and benefits questionnaires. Extract relevant data internally as per survey data & questionnaires requirements and submit it timely and completely. Support in putting forward best practices for implementation in the organization.
Coordinate Annual & Strategic Plan/Latest Estimates
- Support in coordinating A&SP/latest estimates, track the rewards and benefits budget, as well as responding to any ad hoc reporting or analysis requests from the various functions.
Pay Line Management
- Support in reviewing, analyzing, developing and implementing pay line and ensuring compliance with the Company's pay for performance philosophy.
Payroll Administration
- Provide relevant payroll information to local payroll outsourced provider and ensure that local payroll outsourced provider processes and makes all monthly salary payments, relevant statutory payments and declarations in a timely and accurate manner. Perform validation/approval on Functional Allowance/ overtime claims/ Housing Loan Interest Subsidy application on SmartPay. Administer SmartPay portal including letter issuance, employee account, claims entitlement & approver, generate reports as and when required.
- Ensure outsourced employees' payroll prepared by third party vendor accurate and invoice submit to GBS for payment process timely and accurately.
Reporting & Accrual
- Prepare monthly/quarterly/annual reports, i.e. monthly/quarterly headcount report, annual leave accrual, Family Leave report, cost cross charge, in a timely and accurate manner. Perform PR/PO/MIGO action for service agreements, insurance, payrolls on a timely basis. Submit payroll accrual file to Finance and GBS timely, prepare DGT report as and when required to Deloitte. Support internal and external audit as and when required.
HR System
- Custodian of SAP HR System to ensure employees information is updated and maintained on a timely and accurate manner. Responsible to raise myJTI to update, change and maintain employee movement transaction, termination action (if employee resigned) in SAP system. Act as subject matter expert to employee, P&C colleague, department TICO in SmartPay and leave application on myHR portal and myJTI. Responsible to train new TICO.
- Provide employee information and generate Human Resources reports (i.e. AdHoc Query) from SAP HR System whenever needed. Perform regular data quality check to ensure data consistency and accuracy. Extract relevant data from SAP to support ad-hoc compensation & benefits analysis. Responsible to keep confidentiality of employee information particularly in relation to compensation details.
Others
- Support the P&C Lead on other P&C related matters and special projects as assigned.
- Shared Drive - Review and update the information timely in order to deliver the latest HR information to all employees, including uploading announcement for new hires, revised HR policies and procedures (if any), HR forms and guidebook, etc.
- Support Rewards Manager in Rewards related projects and initiatives.
- Support policies review as well as drafting and finalising policy documents.
- Establish productive relationship with P&C GBS to ensure synchronization and alignment between P&C and GBS, that the P&C transactional and specialised services are delivered with high quality and efficiently.
Knowledge, Skills, Experience Required
- Bachelor’s degree in HR/Business Management/Industrial Relations/Finance or its equivalent
- Minimum 3 years of experience in Rewards/Compensation & Benefits management within a multinational environment.
- Knowledge and experience with SAP Success Factors.
- Experience in compensation cycle management.
- Good understanding of local labor legislation.
- Detail-oriented, analytically inclined, critical thinking and problem-solving skills.
- Substantial experience working with diverse leaders. Working in a matrix and multi-cultural environment. Able to build a trustful and engaging relationship with all levels.
- Effective and professional verbal & written communication skills.
- Thrive in a fast paced and changing environment while maintaining focus on driving and delivering on strategic objectives and executing day-to-day requirements.
- Strong command in English (read and write)
