Special Event Assistant
Job description
Our company is looking for passionate, innovative, and energetic Assistant to join our shopping center’s Events and Digital Marketing team! At The River at Rancho Mirage, it is all about the experience! We have a wide range of tenants, and we strive to host events that match that energy!
Participants will be expected to learn and preform the job duties of the position(s) within their assigned department. The Events Department offers practical experience in the production, promotion, and execution of local events of all sizes.
Job Description:
Primary Responsibilities include the following:
Events:
· Assist Events Director in the development, implementation, and execution of all special events, etc. for the property.
· Must show forward thinking, out of the box ideas and creativity in events.
· Assist the Events Director in creating and maintaining special events calendar to ensure continued revenue objectives are met and promotions/events are prepared for in a timely manner.
· Break down and put equipment away after every event.
· Assist in the areas reporting and tracking for all aspects of special events.
· Assist Events Director in obtaining approval signatures, and submissions for all events with vendors and proper local city officials.
· Assist Events Director in acquiring quotes necessary for promotional materials including but not limited to decorations, services, vendors, and gifts for the events and promotions.
· Work closely with vendors and outside sources that are involved with the execution of the events.
· Assist Events Director in providing feedback after every event to create the optimal experience going forth.
· Assist Events Director on tracking and execution of all invoices and bills regarding special events.
· Provide excellent guest service and willing to work nights, weekends and Holidays as required.
· Assist Events Director in finding/scouting live music options.
· Conduct yourself in a proper manner that reflects the center in a positive light.
· Conduct excellent communication skills with keeping marketing team and event vendors/sponsors in the loop.
· Must be comfortable in large group settings.
· Assist Events Director in creating and maintaining relationships with local vendors, businesses, clubs, and city officials.
· Attending local events outside the shopping center as a representative with the Events Director.
· Work closely with tenants on any ideas they might need assistance with regarding their own events.
· Work with local businesses/vendors to create sponsorship opportunities.
· Attend weekly Events/marketing meetings.
Qualifications:
· Education: It is preferred that the candidate is actively pursuing a degree in the areas of Events coordinating/planning, marketing, digital marketing
·Experience: Must have at Least 2 years of experience in planning or assisting with larger events.
· Must have excellent grammatical, organizational, and communication skills.
Bi-lingual in Spanish preferred.
· Must have exceptional customer relations skills and innovative thinking for the development of promotions and events
· Must be completely proficient in Microsoft applications including Excel, Word, etc.
· Must be tech savvy as well as proficient in social media (Instagram, Facebook, Tik Tok, etc.)
· Working Conditions/Physical Demands to perform this job successfully, the individual must be able to stand, move and around the properties, including walking, climbing stairs and sitting at a desk/workstation for the duration of the shift.
· Must be able to grasp, bend, lift and/or carry or otherwise move goods weighing a minimum of 25 lbs. when needed.
This is a part time job on an as needed basis. Weekend availability is a must as well as prep for the week before.

Pay: $15.50 - $17.00 per hour
