The position plays an important role in growing the research portfolio for the entire College. As a member of a small and service-focused dynamic team, with a strong and successful grants award record, the Grants and Contracts Coordinator will focus mainly on the Pre-Award process and interact with some 50 research-active faculty/staff in the COE. This position reports directly to the Grants and Contracts Senior Coordinator and requires the ability to work independently and diligently. A successful candidate must be highly motivated and be able to work professionally in a fast-paced, multitasking environment. Communication skills are key to the success of this position as coordination between multiple offices, institutions, and individuals is a regular responsibility of this position.

Assist PIs with any aspect of proposal development requested, including assisting with initial outlining and formatting of documents and compilation of PDF documents:
- Review RFP, create detailed inventory for PI, and advise PI on relevant proposal requirements as needed
Schedule grant proposal meetings - Communicate status updates and maintain timeline congruent with SPS/UAF deadlines
- Manage proposal development with limited supervision (includes development of full budget and budget justification.
- Complete proposal packages on behalf of PIs using Grants.gov Workspace, Research.gov and other proposal platforms.
- Manage submission and finalization of proposal with SPS using the electronic routing system Kuali Research (KR)
- Communicate directly with SPS and other relevant UArizona offices to address compliance matters prior to submission
- Liaise between PI, College, external and internal partners, Sponsored Project Services (SPS) and University of Arizona Foundation (UAF) to resolve proposal issues
- Work with other institutions as necessary to set up subcontracts and/or collaborate on joint proposals
Serve as portfolio coordinator for research projects hosted through Foundation and Sponsored projects:
- Manage and administer research projects hosted through the Foundation and Sponsored Projects by serving as portfolio coordinator/fiscal officer.
- Proactively establish a relationship with the assigned PIs and department staff by maintaining effective communication;
- Strategize with PIs possible allocation of resources and personnel by assisting with the development of project timelines;
- Oversee account balances and provide quarterly budget reconciliation, annual spending plans and forecasted carryforward dollars to assigned portfolios;
- Regularly draw upon interpretation of federal regulations and guidance, sponsor requirements and university policies to review and approve financial transactions;
- Facilitate monthly, quarterly and annual financial reporting (as needed) with PIs and stakeholders;
- Prepare sponsor required financial reports for signature by AOR;
- Prepare coversheet and submit contracts for signature by SPCS (pre and post award).
- Establish subawards and maintain regular communication as part of monitoring progress;
- Explore compliant resolutions with Manager for more complex circumstances;
- Collaborate with Pre-Award Team and PI to update projects through UAR as needed, including PI changes, new budgets and budget changes for ongoing projects, and cross-train on Pre-Award Processes.
- Other duties as assigned.

Attend Quarterly Research Support Team meetings - Participate in Research Support Team and College leadership sessions to develop a Strategic Plan for the College’s externally-funded research portfolio
- Build and maintain an effective working relationship with faculty, staff, SPS, SPCS and UAF
- Refine the logistics and standard processes of proposal development from proposal inception to submission, including; maintain standards of communication with PIs (email reminders and email alerts), and management of external partners

- Bachelor's degree or equivalent advanced learning
- Minimum of 3 years of relevant work experience is required.
- Experience in both Pre- and Post-Award research administration, preferably in a university setting.
- Experience with funding landscape for educational research.
