JOB SUMMARY: The Specialty Consult Coordinator is responsible for scheduling virtual consults and coordinating procedural roundtrips for our patients. Primarily responsible for coordinating virtual consults with the patient care team and requested consulting service, as well as coordinating with patient care teams to initiate and follow a roundtrip surgical procedure which will transport patients from network hospitals to the North Carolina Baptist Health facility. Additional responsibilities include data compilation and dissemination of virtual, round trip and patient flow initiatives.
EDUCATION/EXPERIENCE: High school diploma and three years healthcare administrative support or general clerical experience. Associate or bachelor’s degree preferred. Tableau experience preferred.

ESSENTIAL FUNCTIONS:
- Adheres to the established enterprise methodologies, practices and procedures for documentation, programming, configuration, change management, testing, deployment, and system monitoring to promote accountability within that cultivates a collaborative work environment with our customers and ensures delivery of agreed upon functionality.
- Review EPIC Work Que for orders of virtual consults requested.
- Identify appropriate consultant or consulting service contact information using the Wake On-Call system and page them to obtain a time to see patient.
- Schedule appointment in EPIC with appropriate consulting service and contact care team at patient location to inform them of the time patient will be seen.
- Send Outlook calendar invitation to consulting physician for the scheduled consult time from Virtual Consult calendar and instructions for launching a Virtual Consult, if necessary
- Call care team at patient location 30 minutes prior to consult to remind them of appointment.
- Full alignment with the vision, mission, and values of the AH-WFBH organization are expected in every aspect of this job.
- Facilitate roundtrip procedures: documenting details in transfer center (EPIC) and arranging round trip transportation with dispatch.
- Collect, compile, and disseminate data in an organized and timely manner.
SKILLS/QUALIFICATIONS:
Excellent oral and written communication skills
Strong critical thinking skills
Significant knowledge of project management practices and methodologies
Ability to analyze data, prepare charts, graphs and reports obtained within data collection
Ability to deliver results with little lead-time, professionalism, and customer service skills are necessary at all times
Ability to communicate professionally with all levels of leadership in a concise, clear and timely manner
